What Happens When a Bus Reassignment Does Not Reach the Member?

Church operations must connect directly to the member experience because every change behind the scenes changes what a person needs to know, do, and trust. A coordinator moving someone to another bus should update that member’s journey at the same time, from the assignment they see to the message they receive and the check-in record waiting at the venue.

One problem, two systems

In 1970, the Apollo 13 crew faced a problem that did not respect team boundaries. The command module used square lithium hydroxide cartridges to remove carbon dioxide. The lunar module had round cartridges. After the explosion that changed the mission, the crew needed the command module cartridges to work in the lunar module before carbon dioxide became dangerous.

At NASA’s Manned Spacecraft Center in Houston, engineers worked out an adapter using materials already available aboard the spacecraft. John Lovell, Jack Swigert, and Fred Haise followed the procedure in space. The solution worked, and the crew returned safely to Earth. NASA documents the episode in its Apollo 13 Flight Journal.

The important part is not the ingenuity alone. The cartridge problem crossed systems. A piece of equipment that worked perfectly in one place was useless until the team connected it to the place where people needed it.

Church events create the same kind of handoff, at a far smaller scale and with the same practical consequence. Transport, registration, communications, ushers, and event leads may each have their own task lists. Members experience one event.

The bus change is a member moment

Picture the afternoon before a large conference in Accra. One bus has reached capacity. Another still has seats. The transport coordinator moves a group of members to the second route so both buses can depart safely and on time.

That adjustment can solve a coordinator’s capacity problem while creating a member problem if the change stays on an internal board.

A member who registered for one bus needs a clear new assignment: the bus name, pickup location, departure time, and any updated boarding details. The event team needs the same change reflected in the expected attendance count. At the venue, the check-in team needs to recognize that person’s registration immediately, without sending them back to a transport desk to explain what happened.

When those records live separately, volunteers become the integration layer. They forward screenshots, search spreadsheets, and answer the same question repeatedly: “Which bus am I on now?” The work feels administrative from inside the church office. To the member, it feels like uncertainty at the moment they are trying to leave home.

The event team watching check-ins rise is seeing more than an attendance number. They are seeing whether earlier decisions reached people clearly enough for them to act.

If members arrive with the right QR code, know their assigned route, and move through check-in without confusion, the transport plan and the event plan are working as one system. If a queue fills with people asking where to go, the failure may have happened hours earlier, when a route change did not reach the right people.

That is why real-time visibility matters. A coordinator should be able to see bus capacity and passenger registration. Event leaders should be able to see check-ins as they happen. Both teams need a shared record of the member’s status, rather than separate versions that must be reconciled after the doors open.

Build the handoffs before event day

Start by mapping the member path, not the departments involved. Registration, transport assignment, delay notice, arrival, and check-in should each update the same underlying event record.

Then agree on what changes trigger a member-facing message. A bus reassignment, cancellation, significant delay, or pickup change should never depend on someone remembering to copy information into a separate WhatsApp chat.

Finally, let the event team watch the signals that matter during the event: buses approaching capacity, registrations, check-ins, and exceptions that need a human response. The goal is a calmer experience for members and fewer preventable rescue tasks for volunteers.

Apollo 13’s adapter mattered because it connected the equipment on hand to the crew’s immediate need. In a church event, the equivalent is simpler: make every operational change reach the person affected by it before they have to ask.
